Configuring search limits for a search profile
In Portfolio, system administrators may create and manage patron-selectable (optional) search limits and administrator-enforced (enforced) search limits for search profiles. For more information about each type of search limit, see Types of search limits.
By default, all defined search limits are optional search limits that are available (but not visible) to patrons of all search profiles. The system administrator can make search limits available only to certain search profiles by using the Assign Limit to Profiles option in Search Limits. For more information, see Making a search limit available to search profiles.
Search limits must be available to a search profile before an administrator can use the Configure Search Limits option in Profiles to do the following.
- Enable one or more search limits for a search profile
- Specify which search limits are optional search limits that are visible to search profiles in Searching, and which (if any) are administrator enforced search limits
- Determine whether patrons with the selected search profile can receive search results that are not restricted by any optional search limits
- Specify which search limit is the default optional search limit for a search profile.

Optional search limits and enforced search limits can be used together for search profiles. However, an enforced limit cannot be simultaneously visible to patrons in Searching as an optional search limit. For example, if the administrator applies a search limit for the young adult search profile so that the search results are restricted to materials owned by the Main Library branch, the Main Library search limit will not display in the drop-down list next to the Search field in the young adult search results. |

The Discovery administrator database metadata is cached in the Discovery Server application. Any changes to search profiles will not be reflected to the patron in Searching until you re-index the ILS source and refresh the metadata cache. For more information, see Refreshing the search cache. |
To configure a search limit for a search profile
- Log in to the Admin console.
- Choose Search Limits from the navigation pane, and create one or more search limits. For more information, see Creating a new search limit.
- Use the Assign Limit to Profiles option to make one or more search limits available to search profiles. For more information, see Making a search limit available to search profiles.
- Choose Profiles from the navigation pane.

Find the search profile that you want to edit, then from the Select menu choose the Configure Search Limits.
The Configure Search Limits for a Profile window displays. See Fields: Search Limit Configuration for Profile for descriptions of the fields in the remaining steps of this procedure.
- In the Available list, select the search limit or limits that you want to enable for the search profile, and click the Add button to move the limits to the Selected list.
- Click Next.
- The Optional list contains the search limits that are enabled for the search profile. Decide which search limits to keep in the Optional list as patron-selectable search limits that will be visible in Searching. If you want a search limit to be an administrator-enforced limit, use the Add button to move the search limit to the Enforced list.
- Click Next.

Do one of the following.
- If you want to display the Everything selection in the list of patron-selectable search limits, select the Use No Limits check box. The Everything selection searches all of the targets that are enabled for the search profile, and does not restrict the search results by any optional search limits.
- If you want the patrons’ search to be restricted by a search limit or target, make sure the Use No Limits check box is not selected.
Important: If any enforced search limits are selected for a search profile, the search results will always be limited by the enforced search limit before the search results are presented in Searching. Therefore, the search results will limited by an enforced limit regardless of the Use No Limits search profile option setting or the patron’s selection from the Searching drop-down list. In the Default Limit list, select the patron-selectable search limit that you want to be highlighted by default when the patron opens the Searching list to limit a search results list.
Note: If the Everything option is displayed in the Searching drop-down list for the search profile, Everything is the default optional search limit unless a specific optional search limit is selected in the Default Limit field.
The behavior of the default limit may be affected by how the browser used with Searching is configured. The first time a patron starts a browser, and points to a search profile, the designated default optional search limit will be highlighted in the Searching drop-down list. If the browser is set to remember form data, then each time the browser is started, the most-recently highlighted search limit is highlighted in the Searching drop-down list. If the browser is not set to remember form data, the default optional search limit for the search profile is highlighted.
- Choose Finish to save your changes, or choose Cancel to discard your changes and return to Profiles.
